Job Description

TITLE: Executive Assistant
BUSINESS: Ashler Capital, Global Equities, Surveyor Capital
SCOPE: Provide administrative and organizational support for Portfolio Managers and teams.
Summary
The successful candidate will be a self-starter who has demonstrated the ability to function independently in a fast-paced, dynamic, and demanding environment. They will be a critical source of administrative and organizational support for this area. This person will be intellectually curious, intuitive, and trustworthy and have the highest ethical standards. In addition, they will be effective addressing several internal and external audiences in a mature and professional manner. This person will add value by working on several simultaneous projects with minimal supervision and exemplary follow-through.
Primary Responsibilities:
  • Coordinate and schedule high volume of internal and external meetings
  • Calendar planning: screen for conflicts and make sure teams are prepared for meetings (travel accommodations)
  • Arrange travel needs through internal travel department for PMs and team
  • Log corporate access and broker interactions in database
  • Collect and organize research reports, models, and company quarterly and annual reports
  • Process expense reports for PMs and team in a timely manner
  • Develop relationships with broker sales teams to effectively plan meetings
Skillset Requirements:
  • Bachelor’s degree required
  • Minimum 3-5 years of administrative assistant experience, preferably within financial services (preferred, but not required)
  • Ability to work in a dynamic, fast paced environment and quickly adapt to changing priorities
  • Proficiency in Microsoft Office (e.g., Excel, Word, PowerPoint, and Outlook) and related software
  • Strong time management skills: ability to effectively balance multiple tasks with competing priorities
  • Excellent organization skills and attention to detail
  • Sense of ownership for one’s work
  • Proactive in following up on details, anticipating issues, and closing the loop on all requests
  • Ability to exercise discretion when managing confidential information, working across multiple teams and functions
  • Mature and strong interpersonal skills; able to interact professionally with peers and senior-level management
  • Must be teamwork-oriented with the ability to work independently
  • Adept at problem-solving, with the ability to be flexible; may act as a resource to other administrative staff
  • Excellent grammar, written and verbal communication skills


In accordance with applicable law, the base salary range for this role is $90,000 to $120,000.
In addition, the employee who fills this role will be eligible to participate in a discretionary incentive compensation program,
as well as a wide array of benefit programs, such as medical and life insurance, retirement and tax-free savings plans,
and access to other healthcare programs.
